WhatsApp bot for restaurant reservations
The phone rings hardest when you are busiest. A WhatsApp bot takes the date, time, party size and allergies, so the request is complete before anyone on the floor looks at it.
Quick answer
Updated
A WhatsApp reservation bot asks for the date, time and party size and notes any allergies. Meerlume builds it from a description of your restaurant. It tracks times rather than covers: one calendar takes one booking at a time, and a request waiting for you holds its time too. So a restaurant either gives each table its own calendar on Growth ($49 a month), with guests picking the table, or runs a request form with no calendar and accepts each request after checking its book. WhatsApp starts on Starter at $19 a month.
What a reservation bot does
It collects a clean table request: when, how many, a name and any dietary notes. It can also answer the questions you have written answers for, such as hours, parking and whether you take large groups. Attach your menu when you build it and Meerlume reads it instead of you retyping it.
You choose how much it decides. For bots that hold bookings for your approval, each request waits for you to accept or decline, from the dashboard or straight from a Telegram message. A booking request you don't answer in time expires and frees the time. The guest is told in the chat if WhatsApp still allows it, which means within 24 hours of their last message, so set the approval window under a day in Calendar settings. It starts at 2 days.
How to run tables
Meerlume has no count of covers or seats, so pick the setup that fits how you seat people.
Requests only
The simplest setup: a request form with no calendar. Say so when you describe the bot. If it adds calendar steps anyway, switch the calendar off in Calendar settings, choose Remove calendar nodes in the builder, pick Something else and ask for date and time questions. The default option removes those steps without replacing them. Then turn on Require review in the builder's Configure tab so each request waits for you. The form collects the date, time and party size, and you accept each request after checking your book. The bot doesn't check free times. Reminders, expiry and in-chat changes don't apply, and your answer reaches the guest only within 24 hours of their last message.
One calendar per table
Each table gets its own calendar. The guest picks the table, and the bot offers a time only if it is free. Party size doesn't choose the table. Needs the Growth plan.
Party size and notes
Party size and allergies are questions in the flow. They show on the request in your inbox, not on the calendar entry, and you can add them to your owner notification. They don't change which times are offered.
Deposits
On Growth, a payment step sends a Stripe Checkout link once the time is held. If you approve bookings yourself, the guest's payment confirms the booking and they're told so, and it leaves your requests. An unpaid request lapses when your approval time runs out. If the bot confirms bookings itself, an unpaid booking stays until you cancel it. This needs calendar steps: on a request form nothing holds the time, so a guest could pay for a table that is already taken. If you decline a paid booking, refund the deposit in Stripe yourself.
Why WhatsApp
A bot can run on the number already on your menu, door and Google. If that number is on a WhatsApp or WhatsApp Business app today, delete that account first. WhatsApp lets a guest ask for a table during your service, when nobody can pick up the phone.
Where to start
Each card opens a working template prompt you can edit before anything goes live.
